Accounts Clerk – Local Agent Group III (Botswana)

About the role

The European Union Delegation in Gaborone is looking for an Accounts Clerk (Local Agent Group III) to support its Administration Section. The role involves handling day‑to‑day accounting tasks, monitoring budgets and providing administrative assistance under the supervision of the Head of Administration.

Key responsibilities

• Receive, verify and process incoming invoices and payment requests against contracts, purchase orders and other documentation.
• Register purchase orders, commercial invoices and credit notes in the accrual‑based accounting system and ensure timely payments in line with EU Financial Regulation.
• Maintain the contractor database, including legal entity details, bank accounts and financial identifiers.
• Encode commitments, de‑commitments and budget forecasts in the budget‑forecasting software and mission‑management system.
• Process LOCPAY payments, monitor bank transactions, manage account balances and retain proof of payments.
• Maintain and regularise suspense (Hors Budget) accounts, process revenues and VAT refunds.

Required profile

• Ability to work under the supervision of the Head of Administration and collaborate with a small team of nine staff members.
• Willingness to adapt to occasional atypical working hours as required by the Delegation.

Required skills

• Experience with an accrual‑based accounting financial system.
• Proficiency in budget‑forecasting software.
• Familiarity with mission‑management software for encoding financial data.
