About the role
Conservation International is seeking an Administrative Assistant to support its Gaborone office and field sites. Reporting to the Procurement Manager, you will provide comprehensive administrative and logistical assistance to ensure smooth operations for the project and the Country Director’s office.
Key responsibilities
- Receive and direct visitors, answer phone inquiries, and handle correspondence courteously.
- Maintain office supplies inventory, coordinate with vendors, and support procurement activities.
- Schedule appointments, meetings, and conferences; arrange meeting equipment and distribute memos and reports.
- Manage mail distribution, travel arrangements, and on‑site meeting logistics.
- Provide logistical support to field sites, including site accessibility, equipment inspection, and cleaning.
- Operate office equipment such as fax machines, copiers, and printers.
- Ensure confidentiality and security of files and filing systems.
- Provide reliable transportation for staff and visitors as a driver.
Required profile
- Strong organizational abilities and attention to detail.
- Professional communication skills, both in person and over the phone.
- Ability to handle confidential information securely.
- Willingness to travel off‑site and accompany staff on field trips.
- Valid driver’s license and safe driving record.
