Grants & Finance Officer

About the role

The Grants & Finance Officer will join the Meeting Targets and Maintaining Epidemic Control (EpiC) Botswana Finance & Administration team in Gaborone. The role supports the project’s financial and grant‑management functions, ensuring compliance with donor, FHI 360 and Botswana regulations while providing operational support to sub‑awardees.

Key responsibilities

• Conduct site visits to sub‑awardees, review invoices, timesheets and program reports, and provide capacity‑building coaching.
• Develop and monitor sub‑awardee budgets, prepare grant modifications and ensure timely disbursements.
• Maintain accurate grant records and coordinate certification, internal closing and financial monitoring activities.
• Enter financial data into the accounting system, process invoices, create payment journals and manage vendor information.
• Review payment packets for compliance with FHI 360 cost principles and ensure correct cost coding.
• Prepare employee travel advances, reconcile expense reports and support month‑end closing procedures.
• Compile VAT returns, assist with audit documentation and support the preparation of financial reports.

Required profile

• Demonstrated experience in grants management and financial administration within donor‑funded projects.
• Familiarity with donor, FHI 360 and Botswana regulatory requirements.
• Strong analytical abilities and attention to detail in financial record‑keeping.
• Ability to work collaboratively with sub‑awardees and internal teams.

Required skills

• Proficiency with DPA financial management system.
• Experience preparing VAT returns and supporting audit processes.
